Wave Integrations and Users: Connecting Outside Apps Without Sharing One Login

Wave supports both external integrations and multiple-user access, but these are separate concepts. Integrations move information between Wave and another application. Collaborators give another person access to a Wave business with a defined role. Current Wave documentation treats bank imports, user permissions, Block Advisors tax filing and the API separately from ordinary app integrations.

Understanding that distinction makes Wave’s ecosystem much easier to manage.

Wave Connect Is the Official Google Sheets Add-On

Wave Connect is Wave’s official Google Sheets integration.

Current functionality includes uploading:

customers;

products;

invoices;

bank transactions;

bulk journal entries.

The same add-on can also download selected Wave data into Sheets.

Wave Connect Can Generate Financial Reports

Current documentation says Wave Connect can generate multi-period:

Balance Sheets;

Income Statements;

Cash Flow reports.

That makes it useful for businesses or accountants who want financial information in spreadsheet form for analysis without manually rebuilding reports.

Google Sheets Does Not Replace Wave

Wave Connect moves data.

Wave remains the accounting system.

A business should not treat a downloaded spreadsheet as an independent accounting database unless it deliberately intends to manage the two systems separately.

The strongest workflow is usually:

Wave owns the books;

Sheets handles analysis or bulk data work.

Partner Integrations Generally Require Pro

Since May 26, 2025, Wave says businesses need a Pro plan or Wave Advisors bookkeeping subscription to establish and maintain Partner integrations and Make connections.

Wave’s own integrations are treated differently.

This is another example of Pro adding ecosystem and automation functionality rather than changing the basic accounting engine.

Make Provides No-Code Automation

Wave currently uses Make as a supported no-code automation route.

Wave describes examples such as:

adding new customers to another system;

creating alerts for new invoices;

connecting Wave with external business applications.

The workflows themselves are maintained through Make.

Wave says users should contact Make support for problems with those integrations.

Zapier Is Managed Separately

Wave’s current Help Center says users can no longer add or manage Zapier workflows through Wave itself and should manage existing or new Zaps directly through Zapier.

This is a useful freshness point because older Wave integration guides can still describe a different Zapier relationship.

Etsy Integration

For U.S. businesses with an active Pro subscription, Wave currently supports an Etsy bookkeeping integration.

One Etsy store can be connected per Wave business profile.

To connect another store, the user needs another Wave business profile with its own Pro subscription.

Etsy Can Import Historical Transactions

During setup, Wave currently allows U.S. Etsy users to select a start date up to one year in the past for importing prior Etsy activity.

Wave also warns businesses that manually entered historical Etsy transactions can create duplicates because the integration may not automatically recognize every old manual record.

This is another example of integration setup affecting bookkeeping quality.

Collaborators Are Not Integrations

Wave lets the business owner invite other people into the business.

The main current collaborator roles include:

Admin;

Editor;

Payroll Manager;

Viewer;

Tax Pro (Block Advisors).

These are human-access roles.

They should not be confused with app connections.

Admin

The Admin role has the broadest collaborator access.

Current documentation gives Admins full access across areas such as sales, purchases, accounting and reports, along with substantial account settings and user-management capabilities.

Admins still do not become the account owner automatically.

Some owner-only functions remain restricted.

Editor

Editors can work in accounting and purchasing and can have selected sales and payroll capabilities, but do not receive the same administrative access as Admins.

This can be appropriate for a bookkeeper who needs to maintain transactions but should not control the full Wave account.

Viewer

Viewer is a read-only-oriented role.

Current permissions allow viewing of areas such as sales, purchases, accounting and reports without ordinary editing power.

That can be useful for advisors or stakeholders who need financial visibility but should not change the books.

Payroll Manager

Payroll Manager is a specialized role available on all plans.

The role gets payroll access without general accounting, sales or purchasing access.

This creates a cleaner division for a payroll administrator.

Block Advisors Tax Pro

U.S. businesses can use the dedicated Block Advisors Tax Pro role for Wave’s tax-filing integration.

The role gives the preparer read-only access to the areas needed for tax work.

That is safer than sharing the owner’s Wave password with a tax preparer.

Pro Is Required for Admin, Editor and Viewer

Current permissions documentation says Admin, Editor and Viewer roles require Pro.

Payroll Manager remains available across plans, and the Block Advisors tax role is available to eligible U.S. businesses across plans.

That makes collaborator access another factor in the Starter-versus-Pro decision.

Permissions Are Not Fully Customizable

Wave currently says collaborator role permissions cannot be customized field by field.

The owner chooses among the available role models.

A business with very specialized internal controls should review those predefined permissions before assuming Wave can mirror every possible access policy.

Integrations and Users Solve Different Scaling Problems

External app integrations reduce data re-entry.

Collaborators reduce password sharing and allow work to be delegated.

A growing business often needs both.

For example:

Etsy imports transactions;

Wave Connect exports reports;

an Editor maintains the books;

a Payroll Manager runs payroll;

a Block Advisors tax pro reviews year-end data.

All of those actors can interact with the same Wave business without performing the same job.
